Now Hiring: Program Administrator

Union Gallery is seeking a highly motivated individual to take on the role of Program Administrator, a position funded through the Canada Summer Jobs Wage Subsidy Program. The Program Administrator will plan, organize, and facilitate Union Gallery’s public programs through a series of summer activities developed with the support of the Program Director and Gallery Director.

OVERVIEW

TERM: June 9 to August 8, 2026 (9 weeks)
WORKDAYS: Tuesdays–Saturdays
HOURS: 30 hours/week for a total of 270 hours; work hours fall between 10:30am–8pm
COMPENSATION: $20/hr plus Mandatory Employer Related Costs
LOCATION: Union Gallery, Queen’s University, Katarokwi-Kingston, Ontario

ELIGIBILITY

This position is funded in part by Canada Summer Jobs. In order to be eligible, candidates must:

  • Be between 15–30 years of age as of June 9, 2026;

  • Have a valid Social Insurance Number (SIN);

  • Be a Canadian citizen, permanent resident, or someone to whom refugee status has been granted/conferred.

TASKS + RESPONSIBILITIES 

Program Development & Facilitation

  • Plan, organize, and facilitate series of all-ages and youth-focused programming 1-2 times per week, including caregiver-and-child activities,  reading circles, craft days, and drop-in art-making

  • Design program plans and activities that align with current Union Gallery exhibitions 

  • Develop interactive take-home packages for the months July and August, including colouring sheets, word searches, zine-making, and drawing or writing prompts

  • Conduct outreach to facilitate arts programming for Katarokwi/Kingston organizations that align with UG’s Strategic Plan, such as KEYS Newcomer Services 

  • Create promotional material using platforms such as Canva; assist in survey, website, and newsletter creation and dissemination using platforms such as JotForm, Squarespace, and MailChimp

  • Assist in everyday gallery administration in collaboration with supervisors, such as opening and closing the gallery, tracking visitor attendance, greeting guests, and giving informal tours

  • Ensure a safe, welcoming, and inclusive environment for all public program attendees and day-to-day gallery visitors

Program Administration

  • Prepare materials, set up activity stations, and clean up workspaces before and after programs

  • Maintain inventory of craft supplies and assist with sourcing materials when needed

  • Track program attendance and create a report after each week’s events detailing challenges and successes

  • Develop a digital feedback survey for participants to complete after programming

  • Use weekly program feedback to assess the quality of programming and make necessary adjustments for the upcoming weeks

ABOUT UNION GALLERY

Union Gallery (UG) is a not-for-profit, student-centred public contemporary art gallery at Queen's University. UG has been in operation since 1994 and has a unique place within the cultural and academic landscape of Katarokwi-Kingston, Ontario, situated on Haudenosaunee and Anishinaabe territory. UG is a space centred in community and conversation, driven by play, curiosity, curation and research-creation. We are the primary public gallery at Queen's dedicated to showcasing the range and excellence of students' artistic and curatorial practices. UG also supports local (based in Katarokwi- Kingston), regional and national professional artists to foster a diverse network of artistic production, presentation and interpretation.
